This policy explains how BurnOn Inc. (doing business as BurnOn) collects, uses and shares personal information in BurnOn Frontdesk, our AI receptionist for businesses. It covers this website, the Frontdesk app, and the calls our receptionist answers.

In short:

  • The business owner who signs up is our customer. For that business's callers, we handle information on the business's behalf.
  • Every call starts by saying it's a virtual assistant and that the call is recorded.
  • Transcripts and recordings are deleted 90 days after the call.
  • The receptionist never takes card numbers.
  • We don't sell personal information.

1. Who we are

BurnOn Frontdesk is run by BurnOn Inc. (doing business as BurnOn), 100 City Centre Dr, Mississauga, ON L5B 2C9, Canada. We are responsible for the personal information we handle for our own purposes, such as owner accounts and billing.

2. Businesses and their callers

The business owner who signs up for Frontdesk is our customer. When someone calls a business that uses Frontdesk, that business is responsible for the call and for the notice callers hear. We process callers' information on the business's behalf, to answer the call, record it and summarise it for the business.

3. What we collect

  • Owner account: your name and email, through Clerk sign-in, including sign-in with Google.
  • Business details: what's on your business's Google listing (through the Google Places API) and on its public website.
  • Facts: the lines you add, edit and confirm for your receptionist.
  • Calls: the call audio, processed live during the call; transcripts and summaries; the requests and messages callers leave; and callers' phone numbers and any names they give on the call.
  • Notification contacts: the phone numbers and emails you give us for texts and emails about your calls.
  • Billing: handled by Stripe. We never store card numbers.
  • Usage and diagnostics: logs and performance data that help us keep Frontdesk running, collected with Datadog.

4. How we use it

  • To answer and transfer calls, take requests and messages, and tell you about them.
  • To draft your facts from your Google listing and website, for you to check.
  • To send you texts and emails about your calls and your account.
  • To bill you, through Stripe.
  • To keep Frontdesk secure and working, and to fix problems.

We use personal information for these purposes with consent, or where the law allows it without consent, for example to prevent fraud or to comply with a court order.

5. Calls and recordings

  • Every call opens with a notice that the caller is speaking with a virtual assistant and that the call is recorded.
  • The receptionist never takes card numbers. If a caller says one, it's removed from the transcript.
  • Transcripts and recordings are deleted 90 days after the call. Summaries and outcomes stay until the business deletes them or closes its account.
  • The business owner can delete a call at any time.

6. AI

The receptionist's answers are generated by AI from the facts the business has confirmed. We also use AI to read a business's website and draft facts for the owner to check.

AI can make mistakes. When the receptionist isn't sure, it says so and takes a message. The business is responsible for keeping its facts accurate.

7. Who we share it with

We don't sell personal information. The business you call sees what happened on the call. We share information with the providers that run parts of Frontdesk for us:

  • Hosting, database, business listings and AI models: Google Cloud (including the Places API and Gemini)
  • Web hosting: Vercel
  • Sign-in: Clerk
  • Telephony and the call runtime: Daily and Pipecat
  • Speech recognition and voice: Cartesia
  • Text messages to owners: Twilio
  • Email: Resend
  • Payments: Stripe
  • Monitoring: Datadog

We may also disclose information when the law requires it.

8. Where it's processed

Our providers may process information outside Canada, including in the United States. There it is subject to the laws of that country, which may let authorities there access it.

9. How long we keep it

  • Call transcripts and recordings: 90 days after the call.
  • Call summaries and outcomes: until the business deletes them or closes its account.
  • Account, business and billing information: while the account is open. After it closes, we keep only what we need to meet legal obligations.

10. How we protect it

We use safeguards suited to the information, including encrypted connections. No system is perfectly secure, so we can't promise that information will never be accessed without permission.

11. Your rights and choices

Under Canada's privacy law (PIPEDA), you can:

  • ask what personal information we hold about you, and get a copy;
  • ask us to correct it;
  • withdraw your consent, though we may then be unable to provide the service;
  • ask us to close your account and delete your information.

Owners can update their details and delete calls in the app. For anything else, email support@burnon.app. We'll reply within 30 days. If you're not satisfied, you can complain to the Office of the Privacy Commissioner of Canada.

12. Children

The Frontdesk app is for business owners and isn't meant for anyone under 18.

13. Changes to this policy

We may update this policy. We'll change the date at the top, and tell business owners by email about changes that matter. Our terms of service explain how the service itself works.
